Executive & Administrative Support Provide comprehensive administrative support to the LATAM President and designated leadership team members. Manage complex, high-volume calendars; proactively identify and resolve scheduling conflicts and prioritize meetings to ensure effective use of executive time. Coordinate complex domestic and international travel, including itineraries, agendas, transportation, lodging, and visas as required. Prepare, submit, and track expense reports in accordance with company policies. Plan, organize, and support leadership meetings, staff meetings, and functional reviews, including agenda preparation, materials coordination, logistics, attendance tracking, and follow-up actions. Organize and manage large internal meetings, town halls, and videoconferences. Maintain distribution lists, organizational charts, and key administrative records for leaders and teams. Serve as a primary point of contact for internal and external stakeholders, exercising tact, professionalism, and discretion. Support onboarding of new leaders and key team members. Complete special projects and ad hoc assignments as required. Coordinate office space needs, seating, conference rooms, and common areas. Manage office supplies, equipment, and related budgets; place and track orders as needed. Coordinate onsite and hybrid events, meetings, and leadership engagements held at the Weston location.
