About The Position

Cancer Specialists of North Florida is recruiting an Executive Assistant for our busy Specialty Practice. The Executive Assistant to the Executive Team provides comprehensive support to multiple senior leaders, ensuring the efficient management of their schedules and office operations. This role requires a highly organized and proactive professional who can manage multiple priorities while handling confidential information with discretion. The Executive Assistant serves as a key point of contact between the executive team, internal departments, and external partners, facilitating clear communication and the successful execution of projects.  Essential Duties and Responsibilities include the following:

Requirements

  • Exceptional organizational, multitasking, and time-management skills
  • Advanced written and verbal communication skills, with keen attention to detail
  • Proficiency in office software (Word, Excel, PowerPoint, Outlook, or equivalent tools)
  • Ability to manage confidential information with discretion and professionalism
  • Strong problem-solving skills and ability to work independently
  • High school diploma or equivalent
  • Proven experience as an Executive Assistant supporting senior executives or leadership teams

Responsibilities

  • Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, coordinating travel, and preparing itineraries.
  • Support special projects for the executive team by conducting research, compiling data, and preparing summary reports and presentations.
  • Serve as the primary point of contact for internal and external communications directed to the executive team, screening and directing calls and messages professionally.
  • Manage incoming and outgoing mail, emails, and correspondence, ensuring timely processing and distribution.
  • Coordinate logistics for executive meetings, including agendas, materials, conference room setup, and follow-up actions.
  • Run errands off-campus as needed to support the executive team’s operations and requirements.
  • Perform additional duties as required to support the executive team’s priorities and strategic initiatives
