Job Summary The Executive Assistant provides multi-faceted administrative support and assistance to the CEO. This is an onsite position located in Merritt Island, FL.

Requirements

  • 3-5+ years of Executive Assistant experience supporting senior leadership, ideally within a tech or high-growth environment.
  • Bachelor’s degree or related field preferred. Equivalent combination of relevant education and experience may be substituted as appropriate.
  • Experience working in a startup or scaling tech company.
  • Experience with tools such as Slack, Zoom, Concur, or similar platforms.
  • Exceptional organizational and time management skills.
  • Outstanding attention to detail and strong research skills.
  • Strong written and verbal communication skills.
  • Ability to anticipate needs, problem-solve independently, and prioritize competing demands.
  • Professional, polished, and adaptable demeanor.
  • Demonstrates excellent verbal and written communication skills to engage with all levels of the organization.
  • Ability to maintain confidentiality and exercise discretion in handing sensitive information.
  • Proficient with MS Office, Outlook, PowerPoint, SharePoint, and Teams.

Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate across multiple time zones.
  • Prepare agendas, presentations, reports, and executive-level correspondence.
  • Coordinate domestic and international travel arrangements, including itineraries and expense reports.
  • Support board meetings and leadership meetings, including materials preparation and note-taking.
  • Act as liaison between CEO and executives, internal departments, clients, and external partners.
  • Track action items and follow up to ensure timely completion.
  • Assist with special projects, event planning, and operational initiatives.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Other duties as assigned
