About The Position

Oak Harvest Financial Group is seeking a highly capable and proactive Executive Assistant to serve as the President’s right hand. This unique, dedicated role is essential to optimizing executive bandwidth, supporting day-to-day operations and communications, and driving high-impact initiatives including events, speaking engagements, and the continued growth of the GoGo Sisterhood. As the Executive Assistant, you’ll work closely with the President to ensure the business’s most critical priorities are executed effectively and efficiently.

Requirements

  • Associate’s degree or equivalent experience
  • 3+ years’ experience supporting a senior executive in a fast-paced environment
  • Advanced calendar management and scheduling expertise
  • Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint
  • Excellent written and verbal communication skills
  • Exceptionally organized with attention to detail
  • Self-directed, proactive, able to anticipate needs
  • High level of professionalism and emotional intelligence
  • Discretion and proven ability to handle confidential information

Nice To Haves

  • Experience in financial services or regulated industries
  • Familiarity with Redtail CRM or similar tools
  • Experience supporting events, speakers, or brand-driven initiatives

Responsibilities

  • Own and actively manage the President’s calendar, schedule, and time optimization
  • Manage inboxes, messages, and communications, prioritizing and responding on behalf of the President
  • Screen and direct phone calls, emails, and correspondence with discretion and professionalism
  • Ensure the President is fully prepared for all meetings, presentations, and speaking engagements
  • Draft, edit, and organize presentations, documents, and internal communications
  • Maintain strict confidentiality across all business and personal matters
  • Coordinate complex travel arrangements, itineraries, and logistics
  • Prepare PowerPoint presentations and briefing materials
  • Maintain accurate CRM and contact databases
  • Support expense reporting and reimbursements
  • Assist with compliance-sensitive and industry-specific administrative tasks
  • Lead and execute special projects requiring structure, follow-through, and cross-functional coordination
  • Assist with planning, logistics, and execution of GoGo Sisterhood events, client events, and speaking engagements
  • Manage event calendars, timelines, vendor coordination, and internal communication
  • Support speaker preparation including materials, run-of-show documents, and follow-ups
  • Assist with relationship management for speakers, partners, and referral relationships tied to the President
  • Provide limited personal assistance to support the President’s effectiveness and schedule
  • Run occasional personal errands related to business needs
  • Remain responsive outside normal business hours when required
