About The Position

MicroScreen LLC, a manufacturer of expendable printing tooling for the electronics industry, is seeking a high energy Executive Assistant for immediate addition to our fast-growing team. The position is in South Bend, Indiana. Executive Administrative Assistant Duties Handle all administrative tasks associated with the CEO/Senior Management. Manage high volume email and prioritize items that require immediate attention. Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings. Make travel arrangements as necessary for Senior Management. Compile, transcribe, and distribute minutes of meetings. Create complex and detailed reports to support banking, purchasing, engineering, operations, and sales projects and programs. Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors. Occasional travel as required for trade shows and customer/vendor meetings. Prioritize incoming issues while maintaining strict confidentiality. Perform general office systems such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work. Provide back-up for weekly payroll and perform other HR related tasks as necessary. Ensure information is available to support decision making. Develop and maintain strong working relationships with internal and external stakeholders. Greet visitors and determine whether they should be given access to specific individuals. Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures. Special projects. Other duties as assigned.

Requirements

  • Bachelor’s degree required in Business Administration, Accounting or Science.
  • Ability to work independently or as part of a team with minimal supervision.
  • Must be able to work in a fast-paced dynamic environment.
  • Excellent organizational and interpersonal skills.
  • Excellent time management skills and ability to prioritize multiple projects.
  • Proficient in Microsoft Office.
