About The Position

Our client is seeking a highly organized and proactive Executive Assistant to support the VP of an AI‑driven team. This role requires exceptional attention to detail, the ability to manage competing priorities, and strong execution across a high volume of tasks. Key responsibilities include complex calendar management, scheduling, email oversight, and acting as a proxy when needed. The Executive Assistant will also manage travel and expenses, maintain operational efficiency, and ensure timely follow‑up on critical tasks and deliverables.

Requirements

  • Minimum 5 years of experience supporting senior leadership (VPs, C‑suite, etc.).
  • Strong proficiency with Microsoft Office and Outlook.
  • Excellent verbal and written communication skills.
  • Ability to adapt quickly, prioritize, and make sound decisions in a fast‑paced environment.
  • High integrity and discretion when handling confidential information.
  • Strong attention to detail and the ability to respond with urgency when needed.

Nice To Haves

  • At least two years of college required; bachelor’s degree preferred.
  • Experience collaborating and negotiating with other administrative teams.
  • Previous experience in the technology industry or similarly fast‑paced environments.
  • Prior experience supporting a VP‑level executive in a tech or corporate setting.

Responsibilities

  • Manage complex calendar scheduling and prioritize requests effectively.
  • Coordinate domestic and international travel arrangements, including visa processing.
  • Partner with facilities to coordinate office moves and seating assignments.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Communicate on behalf of the VP and act as a proxy when appropriate.
  • Manage expense reports and other administrative workflows efficiently.
  • Document, track, and follow up on action items to ensure timely completion.
