We are looking to add an Executive Assistant and Office Manager to our team. This person will support our leadership team, as well perform an Office Manager role. They will be responsible for scheduling meetings and coordinating travel and logistics for Leadership, coordinating across key stakeholders (both internal and external), ensuring that Leadership’s time is leveraged effectively, and managing effective operation of the office. This person is self-motivated, excited to contribute to a fast-growing AI startup, and comfortable working in-person at our headquarters, as they will be a critical part of our team.

  • Provide administrative support to ensure that the office operates in an efficient manner
  • Organize the office layout, ordering supplies, ordering lunch, and ensuring the office is well-maintained
  • Provide primary support to the CEO and CTO while collaborating cross-functionally with the team (and providing support to the rest of Leadership).
  • Responsible for calendar management, including planning meetings, coordinating recurring check-ins, and communicating with multiple parties to schedule events (both internal and external facing).
  • Recording office expenditure, managing the office budget, and processing invoices
  • Respond to inquiries and communicate on behalf of Leadership
  • Organize company events and conferences including booking travel
  • Other duties and projects as assigned
  • Experience supporting an executive or executive team
  • Forward-thinking with the ability to anticipate needs and take proactive action
  • Highly organized with strong follow-through, ensuring priorities are executed
  • Trusted with confidential information
  • Adaptable, capable of wearing multiple hats, and thrives in a fast-paced startup environment
