About The Position

The Executive Assistant provides high-level administrative support to the Executive Administrator and Head of Investor Relations. This role focuses on executive calendar management, travel coordination, and expense reporting, with an immediate priority on addressing and clearing a backlog of executive expense reports in Concur before month-end close.

Requirements

  • Proficient in calendar management and travel coordination.
  • Experience with expense reporting, specifically using Concur.
  • Strong skills in Microsoft Office Suite, including Outlook, Excel, and PowerPoint.
  • Ability to manage shifting priorities and work efficiently in a fast-paced environment.
  • Strong organizational skills with a keen attention to detail.
  • High school diploma or GED required.

Nice To Haves

  • Prior experience supporting executives is preferred but not required.
  • Familiarity with expense policies and month-end close processes.
  • Exposure to investor relations, finance, or executive office environments is advantageous.
  • Exceptional written and verbal communication skills.

Responsibilities

  • Manage executive calendars with precision and efficiency.
  • Coordinate travel arrangements for executives and ensure smooth logistics.
  • Prepare and submit expense reports using Concur, addressing any backlog promptly.
  • Provide administrative support for executive meetings, including preparation of materials using Microsoft Office Suite.
  • Work closely with sr leadership, including the CEO and Head of Investor Relations, to understand and support company strategy.
  • Engage in special projects and tasks as assigned to support executive operations.
