About The Position

The Executive Assistant provides comprehensive administrative support to three VP level leaders in the HR department. This role requires exceptional organizational skills, a proactive approach, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will be a key partner in ensuring the efficient operation of the HR department, handling sensitive information with confidentiality, and contributing to a positive and professional work environment.

Requirements

  • Bachelor's degree preferred; Associate's degree or equivalent practical experience required.
  • Minimum of 5-7 years of progressive experience as an Executive Assistant supporting senior-level executives, preferably within a Human Resources department or a large corporate environment.
  • Proven experience handling confidential information with discretion.

Responsibilities

  • Manages complex calendars, scheduling and adjusting meetings, appointments, and coordinates travel arrangements (domestic and international).
  • Prepares and organizes materials for meetings, presentations, and conferences, including agendas, reports, and presentations using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Drafts, edits, and proofreads correspondence, reports, and other documents on behalf of the VPs.
  • Manages expense reports and processes invoices accurately and in a timely manner.
  • Screens and addresses email inquiries and phone calls with professionalism, directing them to the appropriate parties when necessary.
  • Applies resourcefulness to resolve operational and administrative issues for VPs through strategic use of internal and external resources.
  • Coordinates and schedules HR leadership meetings, including preparing agendas, taking minutes, tracking action items and doing appropriate follow up.
  • Assists in the planning and execution of HR-related events, workshops, and training sessions.
  • Arranges catering and logistics for internal meetings as needed.
  • Handles highly confidential and sensitive information with the utmost discretion and integrity.
  • Acts as a gatekeeper, filtering and prioritizing information flow to the VPs.
  • Assists in the preparation of confidential HR reports and analyses.
  • Provides administrative support for various HR projects and initiatives as assigned.
  • May assist with basic research or data gathering for HR-related topics.
  • Helps track project progress and deadlines.
  • Serves as a primary point of contact for internal and external stakeholders on behalf of the VPs.
  • Facilitates effective communication between VPs and other departments, employees, and external partners.
  • Collaborates effectively with other executive assistants and administrative staff within the organization.
