About the position

The Executive Assistant will provide high-level administrative support to the Chief Human Resources Officer (CHRO), ensuring smooth daily operations and enhancing strategic efficiency. This position involves managing complex calendars, coordinating meetings and travel, and handling sensitive information. The Executive Assistant will also facilitate communication between internal and external stakeholders and support key HR initiatives.

Responsibilities

  • Manage and maintain the CHRO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Oversee the HR organization calendar of standing meetings and events.
  • Track key HR projects, initiatives, and deadlines to ensure timely execution.
  • Support HR team, corporate training events, meetings, and initiatives as needed.
  • Coordinate travel logistics, balancing efficiency and cost management, including booking flights, accommodations, and transportation.
  • Handle expense reports, invoices, and budgeting tasks related to the CHRO's office.
  • Prepare materials for meetings, presentations, and reports.
  • Serve as a liaison between the CHRO and internal/external stakeholders.
  • Draft correspondence, emails, and communications on behalf of the CHRO.
  • Organize and maintain HR files, records, and documentation.

Requirements

  • Associate's degree or equivalent work experience with an additional 5 years of work experience, or a Bachelor's degree with 2 years of experience.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools like Zoom, Slack, or Teams.
  • Ability to work independently and prioritize tasks effectively.
  • Strong problem-solving and decision-making skills.

Nice-to-haves

  • Experience coordinating travel and handling executive scheduling.
  • Previous experience working in a Human Resources or corporate environment.
  • Familiarity with HR software or systems.
  • Ability to handle confidential and sensitive information with discretion.
