About The Position

Lighthouse Youth & Family Services has an immediate need to add an experienced and professional Executive Assistant. The Executive Assistant will be responsible for administrative support for executive leadership team and Lighthouse board of directors and all committees.

Requirements

  • High School Diploma or equivalent.
  • Two (2) years of executive assistant experience, or 5-7 years relevant administrative assistant experience.
  • Proficiency in Microsoft Office including Outlook, Teams, Word, PowerPoint, and Excel.
  • Proficiency in MS Teams and Zoom, particularly hosting virtual meetings.

Nice To Haves

  • Associate degree in administrative management, Human Resources or equivalent.
  • Licensed Notary of Ohio.

Responsibilities

  • Provides administrative support to the executive team which includes managing and the coordination of schedules, scheduling meetings, communications with external stakeholders, hosting virtual meetings, creating reports and presentations, creating general correspondence, excel tables & graphs, etc.
  • Provides support to the Lighthouse Board and all affiliate boards and committees, including preparation of agendas and other board materials, meeting coordination and communication, document management, project support, and drafting minutes (with executive oversight).
  • Manages paper and electronic files using contract software, shared drives, MS Teams and other document management software. Manages record retention.
  • System administrator of corporate administrative accounts including Amazon, travel reimbursement system, and credit cards.
  • Leads or works on a team on special projects including planning and coordinating multi-media presentations, Lighthouse participation in community celebrations, and organizing agency-wide events (annual State of the Agency and social employee appreciation events). This will include working in close cooperation with the Development team, led by the Chief Development Officer of Lighthouse.
  • Administers Core Values and Way to Go initiatives for the agency, as well as employee raffles and other appreciation efforts.
