About The Position

The Executive Assistant will provide high-level administrative support to the Faculty Affairs team at the University of Texas at Austin. This role is crucial in managing the schedules and communications for senior leadership, ensuring operational excellence, and enhancing the overall faculty experience. The position requires strong organizational skills and the ability to handle multiple tasks efficiently while maintaining confidentiality and compliance with university policies.

Requirements

  • Bachelor's Degree and at least two years of clerical experience at the Administrative Associate or Senior Administrative Associate level.
  • Experience providing executive-level support, including managing complex calendar functions.
  • Proficient with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Excellent organizational skills and attention to detail.
  • Demonstrated ability to manage multiple concurrent tasks and respond effectively within assigned deadlines.
  • Excellent written, oral/presentation, and interpersonal communication skills.

Nice To Haves

  • Five or more years of relevant experience.
  • Experience with UT Austin systems, policies, and processes.
  • Experience with event planning.
  • Demonstrated success in process improvement and implementation.

Responsibilities

  • Provide executive-level support for senior leadership in Faculty Affairs, including managing calendars and appointments.
  • Screen and control the flow of incoming communications and visitors to the Senior Vice Provost's office.
  • Provide administrative support for various strategic programs and goals of the Faculty Affairs team.
  • Review and edit correspondence, maintain records, and communicate with stakeholders with high accuracy and confidentiality.
  • Document and maintain Faculty Affairs reports, meeting minutes, and electronic communications.
  • Assist with event planning and logistics for Faculty Affairs programs and initiatives.
  • Coordinate with the Business Affairs team to initiate and complete financial processes for Faculty Affairs programs.
  • Submit invoices for payment and assist with reimbursement requests.
