About The Position

The Executive Assistant at Catawba College provides high-level administrative support to the Chief Student Affairs Officer and other leadership within the Office of Student Affairs. This role is crucial for ensuring the efficient operation of the office by managing daily administrative functions, coordinating schedules, handling communications, and supporting various departments. The position requires professionalism, organizational expertise, and discretion in managing sensitive information within a diverse campus community.

Requirements

  • Bachelor's degree in education, student affairs, technology, or a related field is required; Master's degree preferred.
  • Three to five years of professional experience in higher education, preferably with experience in student affairs, programming, operations management, or information technology.
  • Flexibility to work evenings and weekends as necessary to support events and programming.
  • Familiarity with CRM systems such as Banner, Slate, and Presence is preferred.

Nice To Haves

  • Familiarity with virtual reality technologies and immersive learning platforms.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and campus-based software systems.

Responsibilities

  • Serve as the primary point of contact for the CSAO and Deans, managing calendars, scheduling meetings, and coordinating travel.
  • Prepare and edit correspondence, reports, and presentations on behalf of leadership within the Office of Student Affairs.
  • Organize and maintain office records, files, and databases to ensure compliance with institutional policies and ease of access.
  • Manage incoming and outgoing communications (phone, email, mail), prioritizing requests and ensuring timely responses.
  • Act as the liaison between the Office of Student Affairs and other campus departments, students, and external stakeholders.
  • Assist in preparing and distributing communications, reports, and other materials for meetings, events, and conferences.
  • Collaborate with various departments within Student Affairs to coordinate campus-wide initiatives and student engagement activities.
  • Supervise, train, and support student assistants and other student workers within the Office of Student Affairs.
  • Develop work schedules, assign tasks, and ensure student staff members effectively contribute to office operations and events.
  • Provide guidance, feedback, and performance evaluations for student staff, fostering a positive and productive work environment.
  • Maintain office supplies, equipment, and technology, ensuring the efficient day-to-day operation of the office.
  • Monitor office procedures and suggest improvements to streamline operations and enhance productivity.
  • Provide logistical and administrative support for Student Affairs departments, assisting with resource allocation and coordination of tasks.
  • Assist in the planning and executing of programs and events that promote student engagement, leadership, and wellness.
  • Work with departments across Student Affairs to ensure alignment of initiatives with the division's goals and objectives.
  • Coordinate the logistics for campus events, including venue reservations, registration, catering, promotional materials, and participant communications.
  • Provide exceptional customer service to students, faculty, staff, and visitors, ensuring a welcoming and responsive environment.
  • Address inquiries, resolve issues, and provide information about Student Affairs programs and services.
  • Offer technical support for events, including setting up AV equipment, troubleshooting technical issues, and ensuring smooth operations.
  • Assist in managing the Office of Student Affairs budget, tracking expenses, processing reimbursements, and ensuring compliance with financial policies.
  • Prepare financial reports and budget summaries for review by the CSAO and Deans.
  • Monitor and reconcile expenditures for student programs, ensuring resources are allocated appropriately.
  • Participate in community engagement initiatives and events that foster a positive campus culture and student success.
  • Represent the Office of Student Affairs at campus-wide events, meetings, and activities.
  • Collaborate with faculty, staff, and external stakeholders to promote student engagement and involvement in community events.
  • Handle confidential and sensitive information with discretion and professionalism.
