Requirements

  • 3+ years of experience as an Executive Assistant.
  • Exceptional written and verbal communication skills.
  • Strong emotional intelligence, adaptability, and the ability to adjust communication styles to varying personalities.
  • Advanced organizational skills, high attention to detail, and multitasking mastery.
  • A tech-savvy problem solver proficient in Microsoft 365, Smartsheet, DocuSign, Adobe, and cloud-based systems.
  • Comfortable in high-change environments with a demonstrated growth mindset.
  • Passionate about people and culture; able to handle sensitive matters with discretion and professionalism.

  • Property management experience.

Responsibilities

  • Provide dedicated, proactive support to the owners and the Director of Enterprise Infrastructure and Growth Operations.
  • Manage complex calendars, prioritize appointments, and coordinate internal and external meetings.
  • Draft, edit, and manage communications on behalf of executives with precision and professionalism.
  • Organize and maintain confidential files, reports, and documentation.
  • Assist with project coordination, task tracking, and workflow management across multiple priorities.
  • Serve as a liaison between leadership and vendors for facilities, maintenance, and leasing matters.
  • Track property performance and maintenance schedules; ensure timely response to operational issues.
  • Assist with bidding processes, property records, vendor selection, and insurance compliance.
  • Maintain updated logs of assets, contracts, licenses, and inspections.
