About The Position

The Executive Assistant at the Investments & Wealth Institute plays a crucial role in supporting the organization by performing various office administration and executive support duties. This position is responsible for managing office operations, planning Board meetings, and facilitating communication between executive leadership and stakeholders. The Executive Assistant will work closely with the CEO, COO, and other executives to enhance operational efficiency and collaboration across departments.

Requirements

  • High school diploma or GED required; Bachelor's degree preferred.
  • Five years' experience as an administrative assistant or executive assistant.
  • At least two years' experience with Adobe suite products and Microsoft Office, including PowerPoint.
  • Experience managing travel and event planning.
  • Excellent customer service, telephone, and interpersonal skills.
  • Exceptional attention to detail, organizational and time management skills.
  • Ability to work independently with minimum supervision.

Nice To Haves

  • Experience in a hybrid workplace environment.
  • Familiarity with BoardEffect or similar board management software.

Responsibilities

  • Assist in scheduling and planning of monthly All Staff Meeting and Collaboration Weeks.
  • Ensure that office equipment is operational and schedule repairs and service as needed.
  • Process outgoing and distribute incoming mail.
  • Act as main point of contact with document storage facility and office equipment.
  • Manage Culture Club activities including staff retreats, charity/volunteer events and collaboration days.
  • Order office/equipment/kitchen supplies as needed and ensure inventory is adequate.
  • Submit office and benefits invoices for processing and ensure vendors are set up accurately in AP software.
  • Assist with the maintenance and organization of electronic and paper filing systems for the governance of the organization.
  • Plan and support 3-5 Board meetings per year, including developing and maintaining board books and meeting materials.
  • Take, prepare, and distribute meeting minutes for the Board of Directors and other committees as requested.

Benefits

  • Hybrid workplace with in-office expectation of 2-3 days per week.
  • Salary range of $60,000 - $70,000 depending on experience.
