About The Position

X-energy is seeking qualified applicants for our Executive Assistant VI position. This position is responsible for exercising independent judgment and considerable initiative to provide a wide range of administrative and managerial support to executives. Responsibilities include oversight of calendar management and the successful coordination of business meetings, preparing reports and data analysis, strong computer and research skills, flexibility, excellent interpersonal skills, project coordination and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors--to include sub-contractors and consultants.

Requirements

  • High school diploma is required.
  • Typically, twenty years of relevant experience required.
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Working knowledge of Microsoft Excel, Word, PowerPoint, Visio, and Outlook.
  • Experience writing communications on behalf of others.
  • Project coordination experience.

Responsibilities

  • Lead the execution of the core tasks and responsibilities listed below without close supervision and complete latitude for independent judgement.
  • Serve as a mentor to junior team members and provide feedback and guidance to more junior team members with the execution of the core tasks and responsibilities listed below.
  • Shares knowledge related to industry best practices and standards with others across the organization.
  • Coordinate executive communications, including taking calls, responding to email, and interfacing with external and internal guests.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Maintain an organized filing system of paper and electronic documents.
  • Record meeting minutes.
  • Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Produce correspondence, PowerPoint presentations, senior level meeting agendas, internal and external email communication.
  • Coordinate travel and assist senior managers with business travel arrangements including planning and scheduling, booking tickets, hotels reservations and local transportation arrangements.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Represent the executive by attending meetings in the individual's absence, as requested.
  • Compile expense reports and maintain expense tracker spreadsheet as requested.
  • Suggest more efficient ways to run the office and troubleshoot malfunctions.
  • Uphold a strict level of confidentiality.
  • Maintain professional demeanor and behavior at all times in all forms of communication.
  • Perform other duties as assigned by manager.
