The Challenge We’re growing at an incredible rate – more than doubling our revenues and headcount year on year. The US is already a huge market for us, and we’re doubling down - we’ve just hired our first people in the US and are in the process of relocating some key people from London. We’ve just opened our US office in Boston, MA. We’re also nearing the next stage of our growth: Series B. Now’s the time for an EA to support our exec team and also make our Boston office an awesome place to work. The Role We are looking for an Executive Assistant to help our execs be their most effective versions of themselves. Working directly with the CEO, COO (both co-founders) and other exec team members, you will play a key role in shaping how we work effectively and impactfully. This position involves a mix of prioritisation, administration, and ‘ways of working’ standard setting. We are seeking someone with a strong background in supporting execs in fast-paced, growth companies to help us turn these ambitions into reality.

Requirements

  • Experience in a similar Executive Assistant role within a fast-paced, scaling company (ideally B2B SaaS, tech, or a high-growth startup environment)
  • Proven experience supporting a CEO and wider C-suite, with confidence managing competing priorities, sensitive information, and last-minute changes
  • Strong organisational and time-management skills, with the ability to juggle multiple workstreams and keep things running smoothly behind the scenes
  • Excellent communication skills, with a calm, professional, and solutions-focused approach when dealing with internal stakeholders and external partners

Nice To Haves

  • Experience supporting the CEO and founders through fund-raising rounds
  • Exposure to finance, people ops/HR admin support (onboarding coordination, new starter logistics, etc.) in small companies.

Responsibilities

  • Diary and travel management for the CEO, COO and other exec team members
  • Making our Boston office an awesome place to work – everything from ensuring there’s a fresh supply of fruit and sweets/snacks (we love these at Xapien), and helping to arrange monthly social events (supported by the team in London)
  • Meeting and greeting visitors – customers, investors and candidates
  • Facilitating the monthly board pack creation, drafting board minutes and attending other exec meetings aiding the agenda and note taking
  • Serve as the main point of contact for day-to-day office and facilities queries, liaising with WeWork and relevant service providers to escalate, track, and resolve issues efficiently
