About The Position

The Executive Assistant is a senior-level administrative leader responsible for providing strategic and operational support to the President. This role ensures executive-level initiatives are executed efficiently by overseeing critical administrative functions and coordinating internal processes. With a strong focus on oversight and coordination, the Executive Assistant is responsible for managing communications, timelines, reporting obligations, and departmental support efforts across the property management portfolio. This position acts as an extension of the President's office, ensuring that priorities are understood, tracked, and delivered with accuracy and professionalism. This position requires on-going coordination with the Chief of Staff and flexibility as the needs of the portfolio change.

Requirements

  • Advanced proficiency in Microsoft Office programs.
  • Previous administrative experience in the affordable housing industry.
  • A driver's license and access to a vehicle.

Responsibilities

  • Serve as a central point of coordination between the President and other departments to facilitate communication and task alignment.
  • Serves as a gatekeeper, streamlining communication between executives and external stakeholders.
  • Manage the President's calendar, schedule, and executive-level priorities by working with the Chief of Staff.
  • Ensure that all communications and sensitive materials are managed with a high level of discretion, professionalism, and confidentiality.
  • Conduct research, compile data, and undertake special projects to support initiatives and objectives.
  • Coordinate preparation of materials, agendas, and follow-up documentation for meetings involving the President and executive leadership.
  • Act as a representative of the President in internal and external communications as needed.
  • Review and respond to email communication, ensuring that processes are moved along quickly to the appropriate person. Follow up on all communication to ensure completion.
  • Oversee the preparation and submission of internal and external reports to funding and regulatory agencies, ensuring compliance standards and deadlines are met.
  • Work with the President to coordinate and prepare reports to the investor group including work with consulting staff.
  • Collaborate with the Chief of Staff on tracking all internal KPI's, ensure administrative and senior staff full participation on delivery.
  • Ensure that organizational policies and procedures are communicated.
  • Other duties as assigned.
