Requirements

  • A minimum of 5 years in an executive administrative role, supporting C-Level Executives is required.
  • Self-confidence, poise, and executive presence; relates well to senior executives, internal and external customers, and community leaders.
  • Strong customer service orientation and advanced skills in Microsoft Office programs.
  • Excellent organizational and project management skills.
  • Forward-looking, proactive, self-starter, and independent worker, yet collaborative in a team environment.
  • Strong interpersonal, oral, and written communication skills.
  • Disciplined, appropriately firm, and respected by others.
  • Ability to handle sensitive information with discretion, tact, diplomacy, and judgment.
  • Willingness to work a flexible schedule, with some work outside normal business hours.

Responsibilities

  • Calendar Management: Coordinate and manage the executive's schedule, including organizing meetings, appointments, and travel arrangements.
  • Communication: Handle confidential and sensitive information, draft and proofread correspondence, and act as a liaison between the executive and various stakeholders.
  • Meeting Coordination: Prepare materials for meetings, take minutes, and follow up on action items.
  • Office Operations: Oversee office supplies, equipment maintenance, expense reporting and other operational tasks to ensure smooth functioning.
  • Project Management: Assist in the planning and execution of special projects as needed.
  • Document Management: Organize and maintain files and records, both electronic and physical.
  • Event Planning: Coordinate and execute company events, including logistics and vendor management.
  • Contributes to the excellent reputation of the President's office through professional, friendly and respectful interactions internally and externally.
