About The Position

The Executive Assistant to the Lead Pastor provides high-level administrative, organizational, and relational support to ensure the Lead Pastor can focus on leading the church effectively. This role requires exceptional communication skills, emotional intelligence, discretion, and the ability to manage complex schedules, travel, and confidential matters. The assistant serves as a key liaison between the Lead Pastor and internal/external people, representing the Pastor with professionalism and grace. Key responsibilities include:

Requirements

  • Growing personal relationship with Christ.
  • Alignment with church mission, vision, and staff values as outlined in DNA.
  • Work experience: Minimum 3-5 years of work experience in executive support, preferably in a church or ministry setting.
  • Strong administrative, organizational, and multitasking abilities.
  • Proficiency in computer skills, Microsoft Office suite, and church management software.
  • Excellent verbal and written communication skills
  • High emotional intelligence and interpersonal skills
  • Ability to maintain confidentiality and exercise sound judgment.
  • Attend VRL church services on a regular basis.
  • Have attended a DNA class, signed a membership agreement and be in missional alignment with VRL.
  • Be in a small group on a regular basis.
  • Committed to regular giving of income to God through VRL.
  • Abiding in Christ and continuing to grow toward Christ-likeness and spiritual maturity.
  • Strong interpersonal skills, clear communicator, and humble-like character.
  • Self-motivated and looks for additional areas to contribute.
  • Ability to multi-task and pay attention to detail.
  • Ability to make adjustments in work style for the benefit of the team.
  • Must be able to work a flexible schedule as there are seasons of irregular work hours based on memorial services, events, classes, and other church activities.
  • Attend monthly All Staff meeting and participate in department meetings or other meetings when requested to do so.
  • Work in close association with the entire staff to build and maintain a strong team environment among our staff and complete the work necessary to fully serve and support the ministries and events of Valley Real Life.

Responsibilities

  • Administrative & Calendar Management
  • Manage and protect the Lead Pastor's calendar, including sermon prep, meetings, travel, and personal time.
  • Coordinate and attend meetings on behalf of the Lead Pastor.
  • Maintain communication history and respond to emails and requests across multiple inboxes.
  • Prepare reports, agendas, and notes for Elder and Executive Leadership Team (ELT) meetings.
  • Potentially help with online and social media engagement.
  • Sermon & Weekend Service Support
  • Assist with sermon planning, research, prop procurement, and weekend service execution.
  • Lead and coordinate the Sermon Prep Team and ensure alignment with Creative and Teaching Teams.
  • Travel & Event Coordination
  • Plan and manage travel arrangements for the Senior Pastor, spouse, guest speakers, and others as need.
  • Organize itineraries, speaking engagements, and conference registrations as need.
  • Host luncheons, dinners, and staff events (e.g., Christmas party).
  • Financial & Resource Management
  • Process and reconcile expenses and receipts.
  • Order books and ministry resources.
  • Manage credit cards and expense reports.
  • Board & Staff Support
  • Support Elder nomination process and hold key elder documents at hand.
  • Coordinate retreats and meetings for elder meetings and mentor groups.
  • Leadership & Collaboration
  • Assist and collaborate with other Executive Assistants.
  • Provide coaching and encouragement to administrative staff.
  • Represent the Lead Pastor professionally in all interactions.
  • Include spouse of Lead pastor in all needed communication. Additionally, find ways to come alongside Lead Pastor's wife as her role is unique in the support of elders and pastoral wives.
