About The Position

The Executive Assistant to the Executive Pastor will support and maintain all administrative functions for the Executive Pastor.

Requirements

  • Education required: High School Diploma, Associate’s degree preferred.
  • Experience required: 5 years+ of experience in office administration & support of a key executive.
  • Must be proficient in Microsoft Word, Excel, Outlook and other Office 365 applications.
  • Strong organizational skills and ability to multitask.
  • Aptitude to learn database software used by Grace Church
  • Highly motivated with strong leadership skills in project management and attention to detail
  • Demonstrates honesty and integrity in work relationships.
  • Self-directed and has the ability to work independently within deadlines.
  • Excellent communication skills (both written and verbal)
  • Demonstrates initiative and ability to anticipate and problem-solve independently.
  • Ability to handle sensitive and confidential situations and information.
  • Exhibits a meaningful and growing personal relationship with Jesus Christ as Lord and Savior, as evidenced by the manifestation of the fruit of the Holy Spirit

Responsibilities

  • Effectively interact with all who interact with the Executive Pastor and Executive Office, maintaining a positive first impression
  • Effectively schedule appointments, manage calendar, arrange travel, and screen incoming calls for the Executive Pastor, attempting to respond independently when possible.
  • Serve as a liaison with the Executive Pastor’s direct reports, members of the BOE, staff members, and visitors, maintaining a confidential nature of communications.
  • Manage the planning and execution of the monthly Board of Elders meetings and Grace Church Annual Meeting
  • Assist members of the Board of Elders with all questions and needs related to the work of the Grace Church Board of Elders
  • Manage timecard approval and PTO request approval for the Executive Pastor’s direct reports.
  • Manage office duties, including ordering supplies, sorting and delivering mail, reporting maintenance and IT issues, and other miscellaneous tasks.
  • Perform all administrative duties under minimal supervision, ensuring effective daily operations of the office.
  • Prepare monthly credit card and cell phone expenses and file expense reports as needed.
  • Coordinate and execute, under the advisement of the Executive Pastor, monthly Staff Chapel
  • Help manage the upkeep of Grace Church membership files in cooperation with the Engagement ministry team.
  • Make necessary changes in CCB in order to reflect deaths, inactive members, and members in poor standing.
  • Track monthly membership statistics to share with the Board of Elders and other Church leaders.
  • Manage First Time Givers report provided by the Director of Operations and the Large Donations report provided by the Director of Finance.
  • Handwrite cards to first-time givers each month and mail them.
  • Create electronic letters for large donations for the Executive Pastor to sign.
  • Track large donations for Executive Pastor
  • Provide occasional backup support for the Executive Assistant to the Senior Pastor for the Senior Pastor
  • Perform other duties and assignments as deemed necessary by the Executive Pastor
