The Executive Assistant provides high-level administrative support to the Executive Director and is administratively responsible to them. This position performs a broad range of confidential and complex administrative duties, working closely with both executives on a daily basis to manage priorities, coordinate activities, and streamline operations. The Executive Assistant proactively relieves the Executive Director of routine and selected administrative details, enabling them to focus on strategic and organizational leadership. The position works collaboratively with internal departments and serves as a key liaison with the Board of Directors of Casa de las Campanas, Inc., its committees, and the Casa de las Campanas Foundation, supporting board communications, meetings, and related administrative functions.

Requirements

  • Two or more years of proven experience as a senior-level administrative professional
  • Notary Public credential
  • Self-starter - the ability to use resources and proactively present solutions
  • Detailed knowledge of Roberts Rules of Order and Board of Directors protocol
  • Ability to deal with confidential information and adhere to HIPAA regulations
  • High-level attention to detail
  • Excellent verbal and written communication skills
  • Organizational skills and accountability for self and team
  • Ability to multi-task
  • Ability to pass background checks required by a licensed residential care facility

Responsibilities

  • Provide senior-level administrative support to Executive Director
  • Serve as Secretary to the Board of Directors
  • Manage and supervise the reception team
  • Contract negotiations for office equipment
  • Interface with residents, government agencies, and vendors
