About the position

Under general supervision, the Executive Assistant to the City Manager provides high-level administrative support to the City Manager and coordinates with other departments, elected officials, and the public. This position manages schedules, communications, special projects, purchasing functions, and departmental records while exercising discretion and maintaining confidentiality. The role requires independent judgment, initiative, and the ability to balance priorities across the City Manager’s Office and Main Street functions.

Responsibilities

  • Provides executive-level administrative support to the Department Head, including scheduling, correspondence, and handling inquiries from staff, citizens, and elected officials.
  • Prepares and distributes agendas, press releases, reports, meeting minutes, and the weekly city newsletter. In City Manager’s office, will function as Public Information Officer (PIO).
  • Coordinates travel and training arrangements; tracks budgetary and payroll-related functions for the department.
  • Manages departmental purchasing functions, including processing requisitions, vendor payments, and petty cash.
  • Serves as Records Retention Manager for departmental records and supports public access channel programming (City Manager’s Office).
  • Provides administrative support to Division Managers and assists with special events or programs.
  • Maintains a working knowledge of purchasing procedures and applicable sections of the Texas Local Government Code.
  • Assists with onboarding and mentoring department interns.
  • Enters and reconciles payments and assists with fixed asset inventory and tagging.
  • Performs other related duties as assigned.

Requirements

  • Minimum High School diploma plus two years of college required; Bachelor’s degree preferred.
  • Five years of progressively responsible administrative or executive support experience, preferably in a municipal or public-sector environment.
  • Valid Texas driver’s license required.

Benefits

  • Starting Salary: DOQ range: $21.43-$34.29 per hour
  • Normal business hours. M-F/8-5.
