About The Position

The Executive Assistant to the President at PITT OHIO Express LLC is responsible for providing high-level administrative support to the executive team, including the Chairman, President/CEO, CIO, and CFO. This role involves managing calendars, organizing meetings, and handling travel arrangements, as well as compiling reports and presentations. The position is based in the corporate office in Pittsburgh, PA, and requires a proactive individual who can work independently and manage multiple tasks in a fast-paced environment.

Requirements

  • Minimum of five years prior experience working for senior level executives preferred.
  • Command of English language to communicate effectively with internal and external customers.
  • Some college experience/ongoing business courses preferred.
  • Must exercise duties with a high degree of confidentiality.
  • Must possess excellent interpersonal, verbal and written communication skills.
  • Advanced and Extensive knowledge of Microsoft Office products including Teams, Word, Excel, PowerPoint, and Outlook.
  • Must possess the ability to follow through on an assignment with little or no supervision, must be self-motivated and flexible.
  • Must possess the ability to multi-task and work in a fast-paced environment.
  • Must be able to interact with customers, as well as all employees, in a professional manner.
  • Must be able to organize large meetings.
  • Problem solving and analytical skills are essential.

Responsibilities

  • Provide administrative support to the Executive Team along with their supporting departments.
  • Oversee various calendars and assist with appointment scheduling.
  • Develop, compile and maintain reports daily, weekly, monthly.
  • Organize meetings and travel arrangements.
  • Create presentations and proposals as needed.
  • Compile goal and actual numbers for Performance Reviews for all Direct Reports.
  • Review and approve vendor invoicing for accuracy and A/P coding.
  • Reconcile monthly credit card statements.
  • Order office supplies for department as needed.
  • Provide event planning support for various events and conferences.
  • Partner with various departments to create 20- and 30-year anniversary milestones letters for employees.
  • Manage holiday gift card distribution process for employees and retirees.
  • Ability to react to change productively and handle other essential tasks as assigned.
