About The Position

We are seeking a highly organized, tech‑forward Executive Assistant to support the President and serve as the operational backbone of the executive office. This role represents the organization at the highest level and therefore requires an individual who consistently demonstrates professionalism, courtesy toward others, and a strong customer-service mindset. You will ensure the President’s time, priorities, and communications run with precision. You will manage complex workflows, streamline information flow, and leverage AI tools to enhance productivity across the organization. This position partners closely with the Chief of Staff to ensure day‑to‑day execution aligns with enterprise priorities. You won’t own strategy—but you will ensure strategy runs smoothly. Requirements

  • 8–10 years of executive administrative experience supporting senior leadership.
  • High School Diploma required; Bachelor’s Degree in Business preferred.
  • Advanced proficiency in Microsoft Office Suite and modern productivity tools.
  • Proven ability to multitask, prioritize, and make decisions under pressure.
  • Ability to work independently with high discretion and confidentiality.

Nice To Haves

  • Experience supporting a Sales organization is a plus.

Responsibilities

  • Manage a high‑volume, high‑complexity executive calendar aligned to organizational priorities.
  • Coordinate travel, logistics, and executive‑level meetings with accuracy and foresight.
  • Prepare briefing materials in partnership with the Chief of Staff.
  • Track commitments, deadlines, and follow‑through across multiple workstreams.
  • Serve as a liaison between the President, senior leaders, employees, and external stakeholders.
  • Use AI tools to draft communications, summarize meetings, and generate first‑pass documents.
  • Build templates, workflows, and automation systems that reduce manual work.
  • Maintain structured digital systems for rapid information retrieval.
  • Continuously identify opportunities to improve efficiency through emerging technology.
  • Screen and prioritize inbound communications.
  • Draft executive correspondence for routine matters.
  • Ensure materials are organized, accurate, and delivered on time.
  • Prepare reports, presentations, and summaries that support executive decision‑making.
  • Partner with the Chief of Staff to support execution of enterprise initiatives.
  • Coordinate cross‑functional meetings and logistics without assuming ownership of initiatives.
  • Complete special projects assigned by the President, often involving cross-departmental collaboration.
  • Maintain strict confidentiality across all sensitive topics.
