About The Position

The Executive Assistant to the General Manager provides high-level administrative, organizational, and communication support to ensure the effective functioning of the GM’s office and enterprise operations. This role manages scheduling, meeting preparation, documentation, correspondence, and cross-departmental coordination while maintaining exceptional professionalism and strict confidentiality. Through strong organizational skills, clear communication, and proactive problem-solving, the Executive Assistant enhances executive efficiency, supports strategic initiatives, and serves as a polished representative of the General Manager’s office.

Requirements

  • Must be at least 21 years old to obtain a UMUGC Support License (required).
  • Must be able to pass the UMUGC and CG background investigations (no financial crimes or other felonies).
  • Must maintain a valid driver’s license and meet eligibility requirements for coverage under the enterprise’s vehicle insurance policy.
  • Strong Organizational and administrative skills/abilities; Excellent written and verbal communication skills.
  • High degree of computer literacy, including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new software tools.
  • Must demonstrate exceptional professionalism, discretion, and confidentiality in all matters.
  • Must demonstrate sound judgment, strong follow-through, and the ability to work independently with minimal supervision
  • High School Diploma or equivalent required
  • At least three (3) years of progressively responsible administrative or executive support experience required.
  • At least 3 years of general computer experience
  • Knowledge of executive-level administrative practices, meeting governance, and document management.
  • Skill in preparing polished presentations, professional correspondence, and clear structured meeting agenda/minutes.
  • Skill in prioritizing tasks, organizing workflow, and managing competing demands with accuracy and composure.
  • Ability to maintain strict confidentiality and exercise discretion in all interactions and decisions.
  • Ability to communicate clearly, professionally, and diplomatically with diverse internal and external stakeholders.
  • Ability to anticipate needs, solve problems proactively, and support executive decision-making with accurate and timely information.

Nice To Haves

  • Associate degree or Bachelor’s degree in Business Administration, Communication, Management, or a related field preferred but not required.
  • Professional administrative certifications (e.g., CAP, PACE) are preferred but not required.
  • Demonstrated experience preparing professional documents, presentations, meeting minutes, and reports is preferred.
  • Experience managing complex calendars, coordinating meetings, and handling confidential or sensitive information is preferred.
  • Recent tribal and/or tribal gaming experience preferred.

Responsibilities

  • Executive Support & Administrative Leadership: Provide high-level administrative support to the General Manager (GM), ensuring all tasks, communications, and follow-up items are handled with accuracy, urgency, and professionalism. Serve as a reliable point of coordination between the GM and internal/external stakeholders.
  • Meeting Preparation, Attendance, Documentation & Action Tracking: Attend assigned meetings with the General Manager and serve as the primary recorder. Prepare and distribute meeting agendas in advance, ensuring attendees are aware of topics, required materials, and expected outcomes. Capture detailed notes during meetings, document action items, track responsible parties, outline key topics, and produce clear, professional meeting minutes for distribution and follow-up.
  • Calendar, Scheduling & Workflow Management: Manage the GM’s calendar, appointments, meeting cadence, and availability. Balance accessibility with protected work time, ensuring the GM is prepared for all engagements and receives timely briefings, documentation, and materials.
  • Professional Communication & Correspondence: Draft, refine, and manage written communications, announcements, memos, email responses, and other correspondence on behalf of the GM. Maintain a polished, concise, and executive-level tone across all messaging.
  • Confidentiality, Discretion & Professional Conduct: Maintain strict confidentiality regarding personnel matters, strategic initiatives, financial data, and all sensitive information. Demonstrate sound judgment, emotional intelligence, and the highest standards of professionalism in all interactions.
  • Presentation Development & Document Preparation: Collect content from department leaders and create well-designed, accurate, and professional PowerPoint presentations, briefing packets, reports, and executive summaries. Ensure materials reflect enterprise branding standards and effectively support executive communication.
  • Special Projects & Strategic Support: Assist the GM with enterprise-wide initiatives, research assignments, operational reviews, and cross-departmental projects. Gather data, prepare summaries, and track project progress as directed, ensuring tasks move forward smoothly and on schedule.
  • Coordination with Executive Leadership & Department Heads: Serve as a liaison between the GM and Directors, ensuring clear communication, aligned priorities, and timely response to requests. Support meeting preparation by collecting reports, compiling data, and organizing agendas.
  • Document, File & Information Management: Organize and maintain executive files, digital documents, and records. Ensure secure storage, easy retrieval, and coherent structuring of information for long-term reference and audit readiness.
  • Operational Awareness & Enterprise Insight: Develop a working understanding of casino and hospitality operations, organizational structure, and enterprise priorities in order to anticipate needs, identify information gaps, and provide proactive administrative support to the GM.
  • Problem Solving & Executive Decision Support: Identify issues requiring GM attention, prioritize competing demands, and make recommendations for action. Exercise sound judgment in managing day-to-day challenges, directing inquiries, and supporting executive decision-making.
  • Professional Representation of the GM Office: Serve as a polished and reliable representative of the GM in interactions with employees, guests, vendors, Tribal officials, and regulatory bodies. Ensure all engagements reflect the professionalism and standards of the organization.
