About The Position

This position is responsible for managing CTIO's activities including calendar management, travel, correspondences and communication with internal and external contacts. Represent the company at the highest level during frequent contacts with internal and external business leaders, vendors, Executive Assistants, employees and customers. Complete numerous special projects.

Responsibilities

  • Actively and consistently support all efforts to simplify and enhance the customer experience
  • Manage CTIO's correspondence, including e-mails, phone calls, letters and visitors; answer routine and some complex inquiries and obtain and furnish information on behalf of supervisor; prioritize supervisor's incoming communications to ensure supervisor is aware of key issues.
  • Prepare executive for travel, public events and speaking engagements by compiling relevant information and significantly contributing content to composition of supervisor's presentations, speeches or other correspondence.
  • Organize and prepare complex documents requiring the integration of multiple office technology and software applications.
  • Demonstrate professional written communication skills via reports, executive summaries and newsletters.
  • Act as the office resource for word processing and spreadsheet application.
  • Prepare and maintain confidential information and data.
  • Schedule and maintain the CTIO's electronic calendar/cell phone of appointments, meetings, travel itineraries and coordinate related arrangements.
  • Perform comprehensive event planning and coordination function, including determining attendees, flow of information to attendees, equipment, staffing, catering, location, audio-visual training and set-up, etc.
  • Provide possible solutions when approaching the executive with a problem and explain the pros and cons.
  • Order office supplies such as copier toner and binding machine materials.
  • Utilize Fed-Ex account equipment and software.
  • May assist more than one executive.
  • Perform other duties as requested.
