About The Position

The Executive Assistant for Administration provides a variety of office services and administrative duties for the C-Suite Executive team. This role involves professionally representing Administration, both in person and on the telephone by responding to inquiries, creating and maintaining expense and reimbursement reports, and establishing external and internal meetings for large numbers of participants. The Executive Assistant will manage the front desk, process incoming mail, facsimiles, and general office e-mails, prepare correspondence and presentation materials, and order and maintain office supplies and equipment inventory. Additionally, the position requires maintaining a busy calendar for C-Suite executives, prioritizing requests, and dealing diplomatically and discretely with high-level members of the community. The Executive Assistant will work with hospital data and is expected to handle this information confidentially, appropriately managing visitors, patients, and staff members, and directing individuals to the appropriate person or department for resolution. Accurate file and record keeping pertaining to Administration and the Hospital Board of Trustees is also a key responsibility.

Requirements

  • Computer literate with the ability to type 60 - 75 wpm.
  • Proficiency in dictation transcription/shorthand.
  • Ability to operate a variety of business machines and equipment.
  • Good oral and written communication skills.
  • Highly skilled in Outlook, Word, and Excel.
  • Ability to define problems, collect data, establish facts, and draw conclusions.
  • Ability to interpret an extensive variety of technical/clinical instructions in mathematical or diagram form.
  • Minimum 5 years of experience as an Administrative or Executive Assistant in a healthcare environment.
  • High school education required; some education in Business/Healthcare Administration preferred.
  • Completion of Administrative or Secretarial course preferred.
  • CPI certification required within 30 days of hire.
