Requirements

  • A Bachelor’s degree, or relevant work experience preferred.
  • Proven proficiency in MS Office Suite particularly Excel and Word, Adobe PDF, DocuSign, Canva, CRM and SharePoint required.
  • Experience dealing Ex, refinancing, finance and investor relations projects and knowledgeable of terminology in these areas required.
  • The job requires excellent interpersonal communication skills (written and verbal).
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write clear and effective correspondence.
  • Strong analytical and mathematical skills; accounting/financial acuity required.
  • Ability to apply common sense and sound management practices in dealing with a variety of challenges and difficult situations.
  • Ability to switch tasks and adapt to changing situations and interruptions throughout the day in a fast-paced work environment.
  • Strong attention to detail and problem-solving skills.
  • Experience handling confidential documents and using discretion when appropriate.

Responsibilities

  • Manages CEO/Presidents calendar on a daily
  • Performs routine administrative and logistical duties like answering calls and correspondence, filing, copying, faxing, etc.
  • Balances traditional administrative tasks with a high level of finance, real estate, refinance, and investor relations projects/tasks.
  • Ability to multi-task, pivot, and prioritize tasks.
  • Plans and organizes travel with detailed itinerary, preparations,
  • Organizes and balances personal documents for the CEO/ President as requested.
  • Ability to leverage SharePoint, To-Do, and Teams to manage a SharePoint website for detailed tracking of projects, individual tasks, due dates, and links to relevant folders.
  • Researches and executes various projects as directed by the CEO/President, Director of Finance, Director of Asset Management or Senior VP of Capital Markets.
  • Assist the Senior VP of Capital Markets with client communication, investor pitch decks, and other duties as needed.
  • Proofread quarterly partner letters and manage corresponding
  • Assist the Director of Finance with creating personal financial statements for executives.
  • Send out and ensure signature execution for non-disclosure agreements as needed.
  • Communicate with external lenders and banks regarding sensitive financial information, wire transfers, and payments.
  • Communicate with external legal team to assist with executing, notarizing, scanning, and overnighting timely legal documents.
  • Responsible for collecting legal invoices from firms and making sure they get properly approved and paid timely.
  • Utilize DocuSign and other e-signature programs to send and receive documents in a timely manner.
  • Assist in creating new property management agreements and lease-up agreements, collect signatures, collect down payments, and file all information appropriately.
  • Responsible for sending invoices to collect fees for various services.
  • Assist with planning and executing offsite meetings and events for the executive team.
  • Identify action steps and create alignment between various departments to achieve project completion.
  • Leverage new technology, such as AI to create new processes within appropriate departments.
  • Proactively anticipates needs and solves challenges before they become
