Requirements

  • 5+ years of experience providing administrative support to high profile executives.
  • Strong scheduling and coordination skills, comfortable with last-minute changes.
  • Ability to thrive in a fast-paced environment with a positive attitude.
  • Ability to respond to subtle cues and react with situational appropriateness.
  • Incredibly proactive and able to take initiative and work efficiently with little direction.
  • Flexibility in schedule to support executives as needed.
  • Strong familiarity with Microsoft products (Outlook, SharePoint, Teams).
  • Ability to act professionally and with discretion and confidentiality.
  • Excellent interpersonal skills, tact, and professional demeanor when interacting with diverse audiences.
  • Ability to prioritize, handle new tasks and shifting deadlines, and effective multi-tasking abilities.

Responsibilities

  • Anticipate the needs of and proactively provide high-level executive administrative support to the CEO.
  • Track CEO's tasks and projects to ensure appropriate prioritization with respect to deadlines and organizational changes.
  • Access, review, prioritize, triage and respond to inbound communications including email and voicemail requests.
  • Manage a complex ever-changing calendar and schedule, involving different locations, time zones, and priorities.
  • Act as a gatekeeper to the CEO by using judgment on priorities while maintaining good relationships with external partners.
  • Arrange, coordinate and troubleshoot complicated international and domestic travel arrangements and logistics.
  • Create, track and distribute timely information and materials to appropriate external and internal parties.
  • Prepare monthly expense reports for review and submit to accounting for approval.
  • Prepare agendas, notices, minutes, and resolutions for meetings as required.
  • Maintain hard and electronic files in a neat and orderly system.
  • Manage highly sensitive and confidential relationships with high profile individuals.
  • Serve as a brand ambassador and representative of the CEO in all communications with internal and external parties.
