About The Position

The Executive Assistant provides high-level administrative and operational support within the Legal Department and reports directly to the Senior Vice President (SVP) of Legal. This position will be working in office Monday-Friday from our Sandy, Utah headquarters. This role is critical to enabling the effectiveness of Legal leadership by managing complex schedules, coordinating communications, supporting strategic initiatives, and ensuring smooth day-to-day operations across the department. The ideal candidate is highly organized, discreet, proactive, and comfortable operating in a fast-paced, executive environment. The position is a non-exempt full-time position open to both internal and external applicants.

Requirements

  • Bachelor's degree or equivalent combination of education and relevant experience (5+ years)
  • Strong proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, OneNote)
  • Excellent written and verbal communication skills with a professional executive presence
  • Demonstrated ability to manage competing priorities with accuracy and attention to detail
  • High degree of discretion and integrity in handling confidential and sensitive information
  • Strong organizational, time management, and problem-solving skills
  • Ability to take initiative and work independently and with other Executive Assistants in the company
  • Maintain strict confidentiality of executive, personnel, financial, and strategic information
  • Ensure accuracy, timeliness, and professionalism in all deliverables and communications
  • Anticipate executive needs and proactively address issues before they escalate
  • Demonstrate reliability and accountability in meeting deadlines and managing commitments
  • Build strong working relationships across Legal and the broader organization
  • Adapt quickly to changing priorities and organizational needs
  • Model professionalism, sound judgment, and a service-oriented mindset at all times

Responsibilities

  • Manage the SVP's calendar
  • Coordinate and prepare materials for meetings, leadership forums, and board or committee engagements
  • Serve as a liaison between the SVP, department leadership, business partners, and external contacts
  • Draft, review, and format executive-level communications, presentations, and reports
  • Create, compile, and disseminate periodic reports, committee reports, presentations, and other information
  • Track key action items, follow up on commitments, and support execution of strategic initiatives
  • Assist with department planning activities, including budgeting, workforce planning, and vendor coordination
  • Support Legal leadership meetings by preparing agendas, capturing notes, and distributing follow-ups
  • Make travel arrangements for department leadership
  • Maintain corporate records
