Tom Reilly Training is seeking a highly organized and detail-oriented Seminar Coordinator and Executive Assistant to support our executive team. This full-time position is crucial for ensuring the smooth operation of daily activities, managing schedules, coordinating meetings, and handling client requests. The ideal candidate will be dependable, trustworthy, and thorough in their approach to tasks, playing a pivotal role in the organization’s success. This position requires exceptional communication skills, the ability to prioritize tasks effectively, and a proactive attitude toward problem-solving. As an Executive Assistant, you will be responsible for maintaining and organizing executive calendars, scheduling meetings, appointments, and travel arrangements efficiently. You will act as a primary point of contact for a limited number of clients, ensuring that all communications are handled professionally. Additionally, you will assist in preparing and editing reports, presentations, and other documents, ensuring accuracy and attention to detail. Arranging travel logistics, managing expense reports, and prioritizing tasks to meet deadlines will also be key components of your role. Moreover, you will coordinate seminars by confirming registrations, invoicing, preparing and shipping learning materials, organizing catering, working with outside vendors, and registering seminar attendees. This role requires proven experience as an executive assistant or in a similar role, preferably in a fast-paced environment, along with exceptional organizational and time management skills. You will need to demonstrate strong attention to detail, excellent communication skills, and proficiency in relevant software applications such as MS 365 and QuickBooks. Flexibility and adaptability to changing priorities and deadlines are essential for success in this position.
