About The Position

We are seeking a highly organized and detail-oriented Executive Assistant / Scheduler to support senior leadership in a fast-paced, government contract environment, with work locations at several sites in the metropolitan Washington, D.C. area. This position plays a crucial role in ensuring smooth operations and efficient time management for executives working on critical IT projects for the Department of Defense. The ideal candidate will have exceptional administrative skills, strong communication abilities, and the capacity to handle sensitive information with discretion. The position is contingent upon award of the Office of the Department of Defense (DoD) Chief Information Officer (CIO) DCIO for Information Enterprise (IE) and Special Access Program Information Technology (SAP IT) Support Services Task Order. This position requires a detail-oriented professional who can thrive in a dynamic environment, handle multiple tasks simultaneously, and support high-level executives effectively. The successful candidate will play a vital role in ensuring the smooth operation of our team working on critical IT projects for the Department of Defense.

Requirements

  • Must hold a current Top Secret clearance and be SCI eligible.
  • BA/BS + 10 years relevant experience.
  • Minimum of 5 years of experience as an Executive Assistant in a corporate or government environment.
  • Proficiency in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.

Nice To Haves

  • Master's degree in business administration or related field.
  • Experience working in a DoD or government contracting environment.
  • Familiarity with DoD processes, systems, and regulations.
  • Knowledge of project management principles.
  • Experience with scheduling and calendar management software.
  • Proficiency in handling virtual meeting platforms (e.g., Zoom, Microsoft Teams).
  • Ability to anticipate needs and proactively solve problems.
  • Flexibility to adapt to changing priorities and work under pressure.
  • Experience working with DoD CIO or similar government organizations.
  • Familiarity with DoD personnel systems, administrative policies, and classified work environments.

Responsibilities

  • Manage complex calendars and schedule meetings for senior executives, coordinating with internal and external stakeholders.
  • Arrange travel, prepare itineraries, and manage logistics for executive team members.
  • Prepare and distribute meeting agendas, take minutes, and follow up on action items.
  • Handle confidential and sensitive information with the utmost discretion.
  • Assist in the preparation of reports, presentations, and correspondence.
  • Act as a liaison between executives and other departments or external partners.
  • Manage and prioritize incoming requests and correspondence.
  • Coordinate and organize team events and office activities.
