About The Position

The Executive Assistant/Scheduler will be responsible for managing a complex and dynamic calendar, strategically prioritizing competing demands and requests. This role involves working closely with internal team members to ensure that briefing materials and agendas are prepared in advance of all meetings. The Executive Assistant will provide administrative support to leaders, including travel coordination and email management, and will coordinate adaptive scheduling of internal and external meetings with senior-level leaders and other key stakeholders. Additionally, the role includes supporting administrative logistics around travel and events, collaborating with other front office staff to support office workflow and logistics, and facilitating communication within executive teams by serving as a point of contact for incoming requests.

Requirements

  • Previous experience working in an R&D or Advanced Research Projects Agency, such as ARPA-H, DARPA, ARPA-E, etc.
  • 5+ years of experience providing administrative and/or scheduling support to senior leaders
  • 3+ years of experience in federal contracting or government
  • Experience providing executive support to include scheduling, following up on travel arrangements, developing and editing communications, and interacting with several levels of personnel
  • Experience with Microsoft Office, Excel, Word, and PowerPoint
  • Experience with scheduling software and tools
  • Strong communication skills with experience engaging a broad range of stakeholders, including U.S. and foreign government officials in addition to private sector executives
  • Ability to be well-organized, detail-oriented, and adept at multitasking and prioritizing responsibilities to meet deadlines

Nice To Haves

  • 7+ years of experience providing administrative and/or scheduling support to senior leaders
  • Minimum degree: Associate’s; Bachelor’s preferred
