About The Position

The Executive Assistant position at AF Group is a remote role that involves providing high-level administrative support to one or more executives. This role requires handling confidential information, managing schedules, and coordinating various office activities. The Executive Assistant will also assist in planning and implementing departmental goals, as well as maintaining effective communication both internally and externally.

Requirements

  • High school diploma or G.E.D. required; Associate's degree in business or related field preferred.
  • Four years of relevant experience providing necessary skills, knowledge, and abilities.
  • Knowledge of organization, company, and departmental policy and procedures preferred.
  • Excellent oral and written communication skills with the ability to compose correspondence.
  • Excellent working knowledge of computers and company standard software.
  • Ability to proofread documents for spelling, grammar, and punctuation.
  • Ability to perform necessary mathematical computations.
  • Ability to solve practical problems and deal with a variety of variables in situations with limited standardization.
  • Ability to comprehend consequences of various situations and make appropriate individuals aware for decision making.
  • Ability to follow complex instructions and apply guidelines in problem disposition.
  • Ability to exchange information clearly and concisely and present ideas and facts.
  • Ability to use diplomacy, discretion, and appropriate judgment when addressing callers.
  • Ability to establish workflows, manage multiple projects, and meet deadlines while maintaining composure under stress.
  • Ability to maintain confidentiality.

Responsibilities

  • Coordinates office activities for the executive(s).
  • Prioritizes and follows up on information and requests to and from executive(s).
  • Updates executive(s) on current issues as necessary.
  • Assists in the planning, development, and implementation of goals.
  • Researches, compiles, assimilates, and prepares documents, briefing executive(s) on content.
  • Reads and screens incoming correspondence and reports; handles or forwards to appropriate person.
  • Receives and screens incoming calls and visitors, determining priority matters.
  • Composes, types, and edits correspondence in response to incoming mail, calls, and other situations.
  • Prepares agenda and collects and distributes materials for meetings and conferences.
  • Transcribes minutes and keeps records of proceedings as required.
  • Coordinates and facilitates the executive's calendar(s) to arrange appointments, meetings, and conferences.
  • Recommends actions to be taken on budget expenditures and equipment and supply needs.
  • Directs services such as maintenance, repair, replenishing supplies, and files.
  • Makes domestic and foreign travel arrangements for executive(s) and department.
  • Prepares and compiles travel vouchers and maintains all travel records.
  • Develops, compiles, and maintains various filing systems and informational databases, generating reports as requested or scheduled.
  • Maintains confidentiality of information processed as appropriate.
  • May participate in interviewing, selection, and training.
