About The Position

The Executive Real Estate Assistant provides broad administrative support to the Real Estate and Development function of the Darden Development Department. The position formally reports to the Vice President Development.

Requirements

  • Minimum of five years of executive assistant experience in a fast-paced office reporting to a director level or above and providing support to multiple individuals
  • Knowledge and ability to use computers and various programs, equipment, and information systems (e.g., MS Office Suite, Adobe, printers, scanners)
  • Knowledge and understanding of common Development terms and functions
  • High school diploma or equivalent required
  • Equivalent education, training, or experience will be considered

Responsibilities

  • Supports all vice presidents and senior director on the Real Estate and Development, team, and provides additional support to other functions as needed and as capacity allows.
  • Opening new matters and maintaining physical files and electronic databases; uploading information into information systems-Composing correspondence from very brief written or verbal information with minimal supervision: review, edit and format documents.
  • Running reports using information systems to create documents including summaries, graphs, and charts.
  • Main point of contact for Monthly Development meetings including coordination, scheduling, and audio-visual needs.
  • Maintain Project Review Report for Real Estate Team for Development Incentive Calls-Coordinating interaction between one or more internal and external parties including the scheduling of conference calls and meetings.
  • Receiving and pursuing information; responding to requests from the teams with information obtained by reviewing development documents and exploring data in files/databases.
  • Partner with Executive Assistants to update ISCS Convention Schedule for transparency within the Development Team.
  • Identifying and track progress and status of various transactions and matters; ensuring that deadlines are met by team.
  • Preparing expense reports, check requests, and responding to expense audits.
  • Making travel arrangements for development leaders; distributing physical mail and electronic communications.
  • Answering/returning calls to collect information and route calls; recording clear, concise, and accurate messages as needed.
  • Planning team outings and events as needed for the team.
  • Provide administrative support for onboarding new team members in Development
  • Maintaining integrity and confidentiality of confidential data, materials, communication, and information.
