About The Position

As Executive Assistant (EA), you will play a critical role in supporting the CSO, CMO and their respective leadership teams. In addition to traditional EA responsibilities, you will play a key role in office experience, talent acquisition support and new hire onboarding. On a day-to-day basis, you will handle executive-level scheduling, travel planning, meeting logistics, and document preparation. You will also work closely with HR to support the recruitment process, including scheduling candidate interviews, coordinating debriefs, and managing onboarding logistics for new hires. Lastly, you will serve, in collaboration with facilities, as a point of contact for employees to ensure exceptional office experience. You must have prior experience supporting senior executives in a fast-paced biotech or pharmaceutical environment, with demonstrated ability to manage confidential information and prioritize competing demands. Experience with recruiting coordination and onboarding support is highly desirable. This role offers exposure to strategic clinical initiatives and executive decision-making, providing opportunities to learn about human resources, clinical development, external engagement strategy, and biotech operations.

Requirements

  • Bachelor’s degree or equivalent experience.
  • 5+ years of experience supporting senior executives in a biotech or pharmaceutical setting.
  • Experience coordinating recruitment and onboarding activities
  • Experience coordinating external stakeholder engagements, including KOLs or advisory boards
  • Strong organizational and time management skills with attention to detail
  • Ability to work independently and manage multiple priorities in a dynamic environment
  • Proficiency in Microsoft Office Suite and calendar management tools

Responsibilities

  • Provide high-level administrative support to the CSO, CMO and R&D leadership team
  • Manage office operations including stocking supplies, maintaining kitchen inventory, and coordinating building facilities
  • Support HR with recruitment coordination, including scheduling interviews, candidate communications, and debrief meetings
  • Coordinate onboarding logistics for new hires, including scheduling, documentation, and workspace setup
  • Manage complex calendars, including scheduling internal and external meetings across multiple time zones
  • Coordinate travel arrangements, expense reporting, and logistics for conferences and off-site meetings
  • Prepare leaders in advance of meetings with materials, agendas, and presentation support.
  • Develop and manage various team collaboration sites and document repositories and distribution lists
  • Manage and prioritize internal and external communications including emails, arrangements of conference calls; prepare formal agendas and other communication/meeting materials for internal and external use
  • Schedule and facilitate Key Opinion Leader (KOL) and Investigator engagements, including outreach, agenda development, and follow-up
  • Support preparation of materials for clinical and research meetings
  • Liaise with internal teams and external stakeholders to ensure timely communication and alignment
  • Work collaboratively with other Executive Assistants to ensure alignment, consistency, and operational synergies across departments; partnering to achieve what is best for the enterprise
  • Maintain confidentiality and discretion in handling sensitive information
