Within the Executive Assistant - Programs/Clinical: provides high-level administrative, coordination, and project support to multiple chief-level leaders in a large, mission-driven behavioral health organization. The role ensures programs, clinical, and medical executives’ time, information, and priorities are managed effectively so they can focus quality of care, safety, compliance, and strategic initiatives by managing their time, information, and key workflows. This position requires strong professionalism, a high degree of discretion, confidentiality, comfort working with PHI and clinical operations, and models the organization’s values of equity, inclusion, trauma-informed care, and service excellence. Within the Executive Assistant - Operations (HR, IT, Finance, Mission Advancement & Contracts/Legal): provides high-level administrative, coordination, and project support to multiple chief-level leaders in a large, mission-driven behavioral health organization. The role ensures executives’ time, information, and priorities are managed effectively so they can focus on strategic, clinical, operational, and financial leadership. The position operates with a high degree of discretion, confidentiality, professionalism, and independent judgment, and models the organization’s values of equity, inclusion, trauma-informed care, and service excellence.

Responsibilities

  • Executive Support
  • Proactively manage complex calendars for multiple chief officers, including scheduling, prioritizing, and resolving conflicts across internal and external stakeholders.
  • Coordinate and prepare materials for meetings, including agendas, presentations, handouts, and reports, to ensure chief officers are fully briefed and prepared.
  • Draft, edit, and format professional correspondence, communications, and presentations for review and approval by chief officers.
  • Review, prioritize, and route email, phone, mail, and other communications, flagging critical issues, drafting responses where appropriate, and ensuring timely follow-up based on chief officer preferences.
  • Arrange travel, including itineraries, lodging, registrations, and expense reconciliation.
  • Process, reconcile, and manage credit card and employee expenses to ensure timely, accurate, and compliant financial reporting.
  • Provide administrative support to chief officers to ensure efficient and effective day-to-day administrative operations of the agency.
  • Coordinate grant-related administrative activities, including completing forms, proofreading materials, and gathering required electronic documentation.
  • Meeting, Event, and Governance Coordination
  • Plan and coordinate recurring meetings as assigned, including scheduling, logistics, technology support, minute-taking, and action item tracking to support chief officers in meeting preparation and follow-through.
  • Capture and distribute accurate, concise meeting minutes and follow-up tasks, and track completion of key action items.
  • Assist with preparation of briefing documents and reports for funders, regulators, and community partners as needed.
  • Support organization-wide events, including town halls, leadership retreats, and recognition events, in partnership with Human Resources, Mission Advancement, and Operations.
  • Information Management and Project Support
  • Maintain organized digital and physical filing systems for chief officers’ documents, contracts, policies, and confidential records in accordance with agency standards.
  • Support cross-functional projects by tracking timelines, deliverables, and stakeholder communications, and following up with responsible parties to ensure progress.
  • Support efforts to standardize and improve executive workflows and processes to enhance efficiency and organizational alignment.
  • Board of Directors Support
  • Coordinate board and committee meetings, including scheduling, agenda development, logistics, and distribution of materials.
  • Support preparation and organization of board packets and presentations, ensuring accuracy, clarity, and timely delivery.
  • Ensure professional, timely, and confidential communication with board members.
  • Provide backup support for board meetings, including logistics management, room setup, technology coordination, virtual meeting support, and drafting board meeting minutes with a high degree of accuracy and attention to detail.
  • Relationship Management and Communication
  • Serve as a professional and welcoming point of contact for internal and external stakeholders, including board members, community partners, funders, regulators, and employees across the organization.
  • Demonstrate cultural humility and trauma-informed communication in interactions with employees, people served, families, and community members.
  • Handle sensitive and confidential information with the highest level of discretion and sound judgment.
  • Build strong working relationships across departments to facilitate effective information flow and collaborative problem solving.
