About The Position

The Executive Assistant provides high-level administrative and coordination support to the President, Global Content Distribution. This role serves as a trusted partner and gatekeeper to the executive office, supporting domestic and international licensing, digital distribution, and home entertainment initiatives. This is an on-site role requiring (5) days in office based out of our studio lot in Hollywood, CA. The ideal candidate is forward-thinking, detail-oriented, and comfortable operating in a dynamic, high-pressure environment while maintaining the highest standards of professionalism, discretion, and confidentiality. This position interacts regularly with senior leadership, cross-functional teams, and high-profile external partners.

Requirements

  • 2+ years' of Executive Assistant experience preferred, ideally at an agency or studio environment.
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and collaboration tools such as Teams and Zoom.
  • Excellent organizational, communication, and time-management skills.
  • Ability to manage multiple priorities, meet deadlines independently, and perform under pressure.
  • Professional demeanor with high levels of discretion, reliability, and attention to detail.
  • Ability to work effectively both independently and as part of a team.

Nice To Haves

  • Bachelor’s degree in communications, business, finance, film, or a related field.
  • Familiarity with entertainment industry systems, practices, and key stakeholders across studios, agencies, networks, and streamers.
  • Interest in global distribution, sales, or international content.
  • Demonstrated ability to anticipate issues and proactively identify solutions.

Responsibilities

  • Provide day-to-day administrative support to the President, including handling confidential assignments and anticipating executive needs.
  • Manage a complex and dynamic calendar across multiple time zones and shifting priorities.
  • Screen, prioritize, and triage communications to protect executive time and ensure timely follow-up.
  • Act as a liaison between the President and internal teams, senior leadership, and external partners.
  • Assist with inbound and outbound correspondence, maintaining awareness of departmental operations and business objectives.
  • Support internal communications and cross-functional coordination as needed.
  • Coordinate domestic and international travel arrangements, including itineraries and logistics.
  • Prepare and submit expense reports using Concur.
  • Organize and facilitate virtual, in-person, and hybrid meetings, including room bookings, agendas, materials, A/V setup, catering, and attendee coordination.
  • Provide on-site support for high-profile meetings and events when requested.
  • Coordinate executive, corporate, and client-facing events, ensuring seamless execution and professional representation.
  • Assist with preparation of documents, spreadsheets, and presentations using Microsoft Word, Excel, and PowerPoint.
  • Provide ad hoc administrative and project support across departments, including event coordination, internal communications, and process improvements.
