About The Position

The Executive Assistant to the Vice President and Chief People Officer plays a vital role in supporting the daily operations of the HR division at Colby College. This position requires a detail-oriented and organized professional who can manage multiple tasks in a fast-paced environment while maintaining professionalism and discretion. The Executive Assistant will interact with various stakeholders and assist in the execution of HR initiatives, budget management, and compliance with regulatory requirements.

Requirements

  • Bachelor's Degree in Human Resources, Business Administration, or a related field.
  • Minimum of five (5) years of executive-level administrative support experience.
  • Exceptional computer skills, including proficiency in Microsoft Office, Google Education Suite, and Adobe platforms.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and projects simultaneously.
  • Proven experience in budget monitoring and analyzing, records management, and adherence to administrative policies.

Nice To Haves

  • Experience working within the Workday environment.
  • Professional HR certifications (e.g., SHRM-CP, PHR) are beneficial.
  • Demonstrated ability to foster positive relationships and communicate effectively with stakeholders at all levels.

Responsibilities

  • Provide executive level administrative support for the Vice President and Chief People Officer, including managing calendars and travel arrangements.
  • Assist in supporting activities related to the Colby Staff Advisory Council, including coordinating meetings and events.
  • Support the budgeting process and financial planning activities for the Office of HR, including tracking expenditures and processing invoices.
  • Coordinate logistics for HR initiatives and programs, including scheduling sessions and preparing materials.
  • Assist in the planning and execution of special HR projects as assigned by the leadership team.
  • Support compliance with regulatory requirements related to HR operations, including document retention and I-9 compliance.
  • Assist with student recruitment and summer employment activities as needed.
  • Support process improvement efforts and ensure data integrity in HR systems.
