About The Position

The Executive Assistant in the Office of Advancement at Spalding University plays a crucial role in supporting the advancement department's functions, including managing donor relations, preparing materials for events, and maintaining accurate records of donor activities. This position requires strong organizational skills and the ability to work independently while supporting the Vice President of Advancement and other university leaders.

Requirements

  • Bachelor's degree and/or equivalent relevant work experience as an administrative assistant.
  • 3-5 years of experience as an executive assistant, higher education, alumni relations or advancement is strongly preferred.
  • Proven ability to proficiently and effectively use Word and Excel.
  • Strong organizational and problem-solving skills.
  • Ability to prioritize multiple demands and analyze information with minimal direct supervision.
  • Excellent research, interpersonal, oral and written skills, including legible penmanship and attention to detail.

Responsibilities

  • Assist with research to develop potential high wealth donor list and plan giving.
  • Prepare all collateral materials including letters, folders, prior giving etc.
  • Prepare a brief for VP of Advancement and President (or others) in all those that will be attending events.
  • Proactively keep up to date records on progress regarding all levels of giving, what contacts were made, and next steps.
  • Work with the Advancement database system to accurately record and track cultivation and solicitation activities.
  • Maintain ongoing relationship with donors and sponsors, acknowledging donations and ensuring timely reporting.
  • Organize and schedule appointments for staff.
  • Plan meetings and take detailed minutes for Advancement records.
  • Develop and maintain filing system for projects and campaigns.
  • Prepare bi-monthly Board reports and updates on the campaign.
  • Set up, break down and attend Advancement sponsored events as well as attend other events as a Spalding representative.
  • Act as point of contact for internal and external customers to handle requests and queries.
