About The Position

ARServices is seeking a polished, resourceful, and proactive Executive Assistant/Office Manager to provide critical support to the CEO. This role requires a high degree of intelligence, critical thinking, decision-making, and professionalism to effectively navigate complex situations. You will be a trusted partner to the CEO, managing their schedule, communications, and high-level engagements with precision and confidentiality.

Requirements

  • Ability to obtain and maintain a Top-Secret security clearance during the employment tenure.
  • High School Diploma and 10+ years of experience as an Executive Assistant supporting a C-suite executive, or high-ranking officer such as a General, Admiral, or Colonel.
  • Exceptional organizational skills with meticulous attention to detail and a proactive approach.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • High emotional intelligence, professionalism, and the ability to handle sensitive information with confidentiality.
  • A valid driver's license with an excellent driving record.
  • Availability for occasional evening or weekend work.

  • Bachelor's degree in business administration or a related field.
  • Experience in a government contracting or defense industry environment.
  • Superior writing, editing, and communication skills.

Responsibilities

  • Anticipate, prioritize, and coordinate the CEO's dynamic business and personal calendar, balancing urgent priorities.
  • Manage the CEO's email inbox and phone calls with discretion, ensuring timely responses and redirection of inquiries.
  • Organize internal and external meetings, including agenda preparation, document compilation, and follow-up on action items.
  • Plan comprehensive travel arrangements — air, hotel, and ground transportation — with flexibility for adjustments.
  • Prepare and edit reports, correspondence, presentations, and meeting minutes, maintaining accuracy and professionalism.
  • Work closely with senior executives, Human Resources, Finance, and Operations to streamline organizational initiatives.
  • Oversee office operations, including vendor coordination, facility management, supply inventory, and preparation for new hires and exiting employees.
  • Assist in planning and executing company-wide events and high-level engagements.
  • Provide seamless assistance to other senior leaders when needed, ensuring consistency and continuity.
