About the position

Reporting to the Director of HR, this dual-role position will be responsible for managing day-to-day office operations while also providing high-level administrative support to the CEO and executive team as needed. The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment. This role requires a combination of operational efficiency, strong organizational skills, and the ability to anticipate and meet the needs of a growing team.

Responsibilities

  • Provide comprehensive administrative support to the CEO and executive staff, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Manage confidential and sensitive information with discretion and professionalism.
  • Act as the point of contact between executives and internal/external stakeholders.
  • Assist with special projects and strategic initiatives as directed by the CEO or executive leadership.
  • Oversee day-to-day office operations, ensuring a smooth and efficient workplace.
  • Maintain office supplies, manage vendor relationships, and coordinate office maintenance.
  • Support a positive office culture by planning and coordinating employee events, meetings, and team-building activities.
  • Serve as the main point of contact for office visitors, deliveries, and facilities-related needs.
  • Manage relationships with building management and ensure compliance with workplace safety protocols.
  • Partner with the HR team to support onboarding and offboarding logistics, including setting up workstations and coordinating orientation.
  • Assist with employee engagement initiatives, internal communications, and company-wide events.
  • Help facilitate company-wide meetings, including all-hands meetings, town halls, and team offsites.
  • Provide general administrative support as needed to enhance company operations.

Requirements

  • 2+ years of experience in executive support, office management, or a similar role, preferably in a fast-paced technology or startup environment.
  • Strong ability to prioritize tasks, manage multiple deadlines, and work independently.
  • Excellent written and verbal communication skills.
  • Highly organized with a strong attention to detail and problem-solving mindset.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office, Google Workspace, and calendar management tools.
  • Experience coordinating events, managing vendors, and supporting facilities operations.
  • Strong interpersonal skills with the ability to build relationships across all levels of the organization.
