We are seeking a highly organized, proactive, and resourceful Executive Assistant / Office Manager to provide comprehensive support to the executive leadership team while ensuring smooth day-to-day office operations. This dual role requires a detail-oriented professional who thrives in a fast-paced environment, can anticipate needs, and effectively manage both administrative and operational responsibilities.

  • Provide high-level administrative support to executives, including calendar management, travel coordination, and meeting preparation.
  • Draft, proofread, and manage correspondence, presentations, and reports.
  • Act as a liaison between executives, internal teams, and external partners.
  • Handle sensitive information with confidentiality and discretion.
  • Coordinate board meetings, prepare agendas and content.
  • Oversee daily office operations, including supplies, facilities, and vendor management.
  • Manage office budgets, expense reports, and purchasing processes.
  • Implement and maintain office policies, procedures, and organizational systems.
  • Contribute as part of a team in planning and coordinating company events, meetings, and team-building activities.
  • Serve as the primary point of contact for building management and office vendors.
  • Assist with onboarding of new hires and coordination of HR processes.
  • Support employee engagement initiatives and internal communications.
  • Maintain employee records and support compliance with HR policies and practices.
  • 5+ years of experience as an Executive Assistant, Office Manager, or in a similar administrative role.
  • Exceptional organizational and time-management skills with the ability to prioritize and multitask.
  • Strong written and verbal communication skills.
  • High level of discretion, professionalism, and integrity.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Workfront, etc).
  • Familiarity with AI tools (ChatGPT, Co-Pilot, Gemini, etc.), exercising discretion and best practices.
  • Ability to work independently and collaboratively across teams.
  • Experience supporting C-Suite executives.
  • Event planning and coordination background.
  • Tech-savvy with the ability to streamline workflows and implement productivity tools.
