The Executive Assistant & Office Operations Coordinator plays a critical role in ensuring the smooth functioning of daily business operations while providing high-level administrative support to the COO and broader leadership team. This position manages executive scheduling, communication flow, meeting logistics, and presentation preparation, while also overseeing core office operations, vendor coordination, and organizational systems. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and brings a proactive, service-oriented approach to supporting business leaders and cross-functional teams. This role requires professionalism, discretion, and the ability to independently manage priorities in a dynamic, growing organization.

Requirements

  • Experience in office management, administrative support, or executive assistant roles.
  • Excellent organizational and prioritization skills with a proven ability to manage competing deadlines and shifting priorities.
  • Proficiency in PowerPoint, Word, Excel, Google Workspace, Slack and document formatting.
  • Comfortable interacting with leadership and supporting C-suite calendars and executive-level communications.
  • Strong attention to detail, professionalism, and the ability to work independently with minimal supervision.
  • Clear, concise communication style with dependable follow-through.
  • Must reside within a commutable distance to Van Nuys, CA and be willing to come to the office 4 days/week
  • 3–5 years of experience in administrative, EA, or operations support roles.
  • Experience coordinating executive calendars and supporting senior leadership in fast-paced environments.
  • Drives alignment through clear communication
  • Operates with a strong sense of ownership and demonstrates consistent delivery of high-quality work

Responsibilities

  • Manage daily office operations and maintain a clean, organized, and efficient workspace.
  • Sort, distribute, and track all incoming and outgoing mail, deliveries, and shipments.
  • Track office supplies, equipment needs, and coordinate with vendors as required.
  • Maintain accurate, organized digital and physical filing systems with a high degree of confidentiality.
  • Serve as a communication and task-routing point between departments to ensure smooth workflow.
  • Coordinate meetings, conference arrangements, and team activities across business functions.
  • Maintain office systems, shared folders, templates, and process documentation to ensure operational consistency.
  • Provide direct administrative and scheduling support to the C-Suite, including calendar management, meeting coordination, and prioritization of activities.
  • Prepare, edit, and format PowerPoint presentations, meeting materials, talking points, and internal communications.
  • Coordinate executive travel, itineraries, logistics, and expense submissions.
  • Support additional executives with scheduling, administrative tasks, and cross-functional coordination as needed.
  • Anticipate executive needs, resolve scheduling conflicts, and ensure timely follow-through on action items.
  • Help schedule Board meetings and other high-level meetings.
  • Support internal teams with document preparation, formatting, organization, and routing.
  • Assist with coordinating executive events, leadership meetings, and assist with C-Suite communication.
  • Respond to employee questions with a friendly, customer-service–focused approach.
  • Maintain confidentiality and exercise discretion when managing sensitive information and related documentation.
  • Manage execution of agreements by DocuSign and/or other electronic signature tools.
  • Maintain the Company’s internal document folder and the corporate calendar.
