Requirements

  • Five or more years of experience providing executive-level support, with demonstrated experience supporting multiple leaders simultaneously.
  • Exceptional organizational and time-management skills, with the ability to balance competing priorities and stakeholders.
  • Strong written and verbal communication skills, with the ability to produce polished, professional communications.
  • High level of discretion, emotional intelligence, sound judgment, and attention to detail.
  • Proficiency with Microsoft 365 tools, including Outlook, Teams, Word, Excel, and PowerPoint, as well as Zoom and collaboration platforms.
  • Proven ability to thrive in a fast-paced, high-expectation, and dynamic environment.
  • Experience supporting C-level or extended executive leadership teams.
  • Background in high-growth, matrixed, or complex organizations.

Nice To Haves

  • Project management experience or formal training is a plus.
  • Experience supporting People or HR leadership is an advantage.

Responsibilities

  • Provide high-level administrative and operational support to multiple senior executives, managing complex and shifting priorities.
  • Own and maintain executive calendars across multiple time zones, proactively prioritizing meetings aligned with business objectives.
  • Coordinate and schedule internal and external meetings, including leadership sessions, customer meetings, interviews, and cross-functional engagements.
  • Prepare executives for meetings by compiling agendas, briefings, presentations, and relevant background materials.
  • Manage executive correspondence, including drafting communications, triaging requests, and tracking follow-ups.
  • Plan and execute logistics for executive travel, leadership offsites, team meetings, and company-wide events.
  • Support operational processes such as budget tracking, expense reporting, invoice processing, and purchase orders.
  • Act as a liaison between executives and internal or external stakeholders, ensuring clarity, responsiveness, and follow-through.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Support special projects and organizational initiatives, including research, data gathering, reporting, and presentation development.
