About The Position

The Administrative Executive Assistant provides timely and efficient operations of Woman's Medical Staff Services office by providing proactive support, superior organizational and problem-solving skills, and managing organizational interactions at all levels. Works directly with the Chief Medical Officer, Vice President of Physician Services, Director of Medical Staff Services, Medical Directors, and Medical Staff Services staff. Collaborates with other Executive Assistants, other departments, customers, and vendors as necessary.

Requirements

  • High School diploma or equivalent required, some college preferred
  • Medical staff experience is highly preferred.
  • Must have a minimum of 1 year of executive-level secretarial experience, preferably in a healthcare setting.
  • Knowledge of Microsoft Office Suite, telephone etiquette, general office equipment, procedures for taking minutes and knowledge of hospital operations.
  • Must possess strong project coordination skills, ability to multitask, sensitivity to confidential matters and ability to work independently.
  • Requires excellent organizational and communication skills (both written and oral).

Nice To Haves

  • Medical staff experience is highly preferred.

Responsibilities

  • Provides support by performing tasks related to the efficient operation of Medical Staff Services and Physician Practices.
  • Performs general office and clerical support, including but not limited to scanning and indexing documents, filing, troubleshooting equipment, sorting mail and ordering supplies upon request.
  • Answers calls promptly and courteously; screens calls and routes to the appropriate person if needed. Determines if correspondence or follow-up is necessary.
  • Performs special projects as assigned by the Chief Medical Officer, Vice President of Physician Services, Director of Medical Staff Services and Executive Director of Physician Practices.
  • Serves as the Medical Staff Services timekeeper utilizing payroll software.
  • Coordinates meetings, agendas and appointments for the Chief Medical Officer and Medical Director of Assessment Center consistent with each of their preferences and priorities with both internal and external stakeholders. This may include reserving space, ordering dietary items, requesting room setup, preparing materials, etc.
  • Creates, maintains, organizes, and distributes meeting minutes for approval.
  • Complies the monthly clinical physician newsletter by receiving and editing articles, proofreading, and distributing publication by stated deadline.
  • Prepares check requests as directed for expenses.
  • Coordinates travel arrangements as directed.
  • Prepares summary expense reports in accordance with hospital procedures.
  • Complies and publishes the monthly Medical Staff events calendar by the end of each month and maintains the calendar on the physician website.
  • Supports and upholds the mission, vision, and values of Woman's Hospital.
