About The Position

As the Executive Assistant, you will provide comprehensive administrative and operational support to the Vice Presidents of Psychometrics and Assessment Design & Development, serving leaders who oversee a combined staff of over 100 employees. This role ensures efficient management of calendars, travel, expenses, and event logistics while serving as a central point of coordination for two large, cross-functional teams.

Requirements

  • 2–4 years of executive or administrative support experience, preferably supporting senior leaders.
  • Mastery of Microsoft Outlook, Slack, Zoom and expense management systems (e.g., Concur).
  • Excellent organizational and time-management skills with attention to detail.
  • Strong written and verbal communication skills.
  • Discretion, reliability, and professional judgment.
  • Collaborative, customer-service mindset; ability to balance priorities across multiple stakeholders.
  • A passion for expanding educational and career opportunities and mission-driven work

Responsibilities

  • Manage complex calendars, proactively identifying and addressing conflicts
  • Coordinate travel, lodging, and logistics for both VPs.
  • Prepare, reconcile, and submit expense reports promptly.
  • Maintain confidentiality and exercise discretion in managing sensitive information.
  • Plan and execute logistics for in-person meetings and events hosted by AD&D and Psychometrics (e.g., leadership meetings, retreats, SAT review committees, technical advisory sessions, planning workshops).
  • Partner with internal teams on event planning, travel coordination, catering, and materials preparation.
  • Support virtual and hybrid event facilitation.
  • Maintain shared documentation and templates for meeting scheduling and coordination.
  • Collaborate closely with the Assistant Director, Division Management, to ensure alignment across leadership calendars and divisional initiatives.
  • Support the operations of division initiatives, as needed.
