About The Position

We’re seeking an Executive Assistant & Junior Chief of Staff to serve as a highly trusted partner to our CEO. This role is for someone who thinks ahead, moves fast, and takes full ownership of keeping the CEO focused on what matters most. You will be responsible for managing the CEO’s time, priorities, and execution – anticipating her needs, removing barriers, and ensuring decisions turn into action. This is a high-impact, fast-paced role. You’ll operate with a strong sense of urgency, a bias toward action, and an instinct to help our CEO stay two steps ahead. Success in this role requires exceptional calendar mastery, rapid decision-making, and the ability to multitask seamlessly while maintaining sharp judgment and follow-through with a kind and positive attitude. This role is ideal for someone early in their career who is hungry to learn, thrives in ambiguity, and wants exposure to company-level strategy, leadership dynamics, and modern creator-led businesses. This role will be primarily in-person and will require travel between Hoboken, NJ and our office in Chelsea, NYC, with 1-2 days weekly of remote work.

Requirements

  • 2+ years of experience in a fast-paced corporate environment, ideally supporting a senior leader or executive
  • Ability to travel between our NYC office, Hoboken and to events as needed
  • Ability to lift 30 pounds and be physically active / on feet for a large portion of each day when needed
  • Extremely strong written and verbal communication skills, with a professional and approachable demeanor and an ability to manage up
  • Excellent organizational skills and attention to detail, with the ability to effectively manage multiple priorities simultaneously
  • Strategic thinker with strong business understanding and financial awareness
  • Strong proficiency with Google Workspace and scheduling tools
  • Passion for the Baked by Melissa brand and mission

Responsibilities

  • Manage the CEO’s calendar, including scheduling and coordinating internal and external meetings
  • Thoughtfully organize and find efficiencies in the CEO’s working style and current workload
  • Coordinate travel arrangements, itineraries, and logistics for business and occasional personal needs
  • Help translate ideas and live conversations into clear plans, timelines, and next steps
  • Ensure smooth execution of daily organizational operations so the CEO can stay focused
  • Support the CEO’s creator work through scheduling, coordination, and execution
  • Prepare meeting agendas, decks, and follow ups to ensure the CEO is always prepared and all meeting attendees are given a succinct summary with clear next steps
  • Track key initiatives, action items and follow up accordingly with internal and external stakeholders to ensure accountability across teams
  • Help push projects across the finish line by coordinating with the executive team team
  • Research and help prepare CEO for conversations with external and internal partners
  • Support the CEO in prioritizing initiatives and balancing strategic and day-to-day responsibilities
  • Assist with expense reporting, invoices, and vendor coordination
  • Help plan and execute company events, leadership meetings, and special projects
  • Support both large and small office and home tasks when needed (ie, ordering groceries, running errands, personal paperwork and logistics, etc.)
  • Take on additional tasks and projects as needed to support the CEO and company
