About The Position

The College of DuPage is a comprehensive community college located 27 miles west of downtown Chicago, vitally connected to our local area for over 50 years. Requirements

  • Associate's degree or equivalent related experience required.
  • Three to four (3-4) years as an executive level secretary including proficiency in Microsoft Office required.
  • Excellent secretarial and administrative skills, ability to synthesize Board minutes, and a high degree of competency in meeting and handling various situations required.
  • Proven ability to manage multiple priorities and deadlines simultaneously including attention to detail and accuracy required.
  • Must be self-motivated, have excellent communication skills, goal-oriented, and experience in handling confidential matters with appropriate confidentiality required.
  • Experience in supporting Board members in a not-for-profit charitable organization and experience with fundraising practices and systems required.

Responsibilities

  • Provide administrative support to the Vice President for Institutional Advancement/Foundation and Legislative Affairs.
  • Manage the operational functions of the Institutional Advancement/Foundation & Legislative Affairs Office, including supply inventory and ordering, budget use and tracking, and equipment maintenance.
  • Maintain the Vice President's calendar and the general Institutional Advancement/Foundation and Legislative Affairs Office and Board of Trustees calendars.
  • Serve as the central point of contact for communication for the Institutional Advancement/Foundation and Legislative Affairs Office.
  • Assist in the preparation of monthly Trustee Meetings, prepare agendas for Board and Committee meetings, and coordinate, assemble and distribute Board and Committee packets.
  • Work with Events Coordinator to set up meetings, develop menus, contact catering, and supply refreshments.
  • Record meeting minutes and help create and ensure accuracy in the preparation of written materials.
  • Manage the preparation of documents, filling timely call reports, and assisting with the flow of material through the Vice President's office.
  • Investigate, organize, interpret and prepare appropriate written responses for matters received in the Vice President's office.
  • Maintain formal, accurate and authentic records of the Institutional Advancement/Foundation and Legislative Affairs Office.
  • Manage business and operational functions of the Institutional Advancement/Foundation and Legislative Affairs Office.
  • Provide directions and greet visitors and guests, maintain office supplies and equipment, and update the office website.
  • Make all travel arrangements for the Vice President and Trustees and complete and submit expense reports.
  • Perform other duties as assigned.
